What Is a Flow, and Why It Matters

Flows turn any repeatable process, whether simple or complex, into a structured, accountable, visible workflow inside Membrain. As our Help Center explains, it gives your teams a defined way to manage everything from basic checklists to multi-step projects.

In practice, that means instead of juggling parallel tools or siloed initiatives, your whole organization can operate in one system, while keeping sales at the center of coordinated execution.

These examples also come out of the box, as you can find them as helpful templates to easily get started and tweak them to fit your specific business and needs. Flows helps eliminate manual coordination, improves visibility, and ensures work stays aligned with measurable business outcomes. 

How Flows Works: Parent Types, Structure & Stakeholders

When building a Flow, you start by choosing a Parent Type—that determines how the Flow attaches to your data model. The Help Center lays out these options:

Product Update Flows Parent Type

  • Company Flows: Behaves like most things in Membrain do, you can access and update information on a company level.
  • Contact Flows: for individual-based processes. This can be used for recruitment processes and similar.
  • User Flows: For internal organizational routines where access to Membrain is needed (onboarding, checklists, learning & development)
  • None: In the context of Membrain this is highly unique, and can be used ffor initiatives that span teams or functions without direct entity linkage. Instead you can keep it incredibly simple, or leverage relationship fields to push complexity to the limits and bring clarity across the many layers of your organization.

Within a Flow, you define Stages and Steps as you would in for example Sales Projects or Account Growth Projects. Each Step can include checklists, required fields, attachments, actions, tools (e.g. timelines, graphs), and responsibilities. Add Stakeholders to ensure the right people are involved at each step. Here you will find the process capabilities you are used to, and a few unique additions.

Flows can also surface visual components such as graphs, timelines and trends that help tracking and analytics live inside the process rather than as an afterthought.

Quotes That Move With Your Process

When we launched Membrain Quotes, our goal was simple, to bring quoting right into the sales process where it belongs.

And just in those few weeks, teams have been building, sending, and tracking quotes right inside Membrain, with fewer clicks and better visibility than ever before. We've also gotten a lot of feedback, and we now have a ton of updates that stems from that great feedback.

This release takes Quotes to the next level. Based on real-world use and direct feedback from you, we’ve introduced a series of improvements that make quoting faster, smarter, and more connected, across both desktop and Membrain Go.

Quote Process Tool: Create Quotes Directly From Your Sales Steps

A major upgrade for teams who want quoting deeply integrated into their workflows. You can now add a Create Quote tool directly into process steps, making it simple to create or link quotes directly from your sales process.

When setting it up, you can select a quote template during setup for consistency and to make it easy for everyone on the team to pick the right starting point. This gives sales teams a seamless quoting experience embedded right in your processes.

No switching views, no manual linking, just quoting in flow with your process.

More Personalized Quotes: Embedded right inside your process & templates

Quotes now support dynamic personalization using data from Sales Projects, Companies, and the contacts that are Stakeholders in this projects. That means project fields, company details, and stakeholder information (like name, title, and email) can automatically populate into your quotes, ensuring accuracy and reducing manual entry. Every quote becomes more personalized, more relevant, and less prone to error.

Quote Templates: Attachments, Layout Improvements & Preview

Quote Templates are more capable and easier to work with than ever before:

  • Attachments in Templates: Add and organize attachments in Quote Templates, and have them automatically copied into new quotes created from that template.
  • Document Category Moved: The “Document Category” selector has been repositioned in the left column for a more natural layout.
  • Preview in New Window: You can now preview Quotes and Quote Templates in a full, distraction-free window to see exactly what your customer will receive.
  • Maximize Rich Text Dialog: One of those small, but oh so nice improvements, editing descriptions or terms just got easier as you can now expand the editor for a better writing experience.

Quotes in Account Growth & Dashboards

Quotes are a key part of your revenue processes, and now you can connect to them easily in your revenue analytics. Product Revenue graphs in Account Growth and Dashboards now let you choose between Sales Project Products (default) and Quotes as two different sources of data.

This helps you visualize revenue across different stages, from forecast to done deal, giving sales leaders a clear and more accurate view of the pipeline and the revenue therein.

Membrain Go: View Quotes On the Move

Quotes are now accessible in Membrain Go, ensuring you can stay connected wherever you are.

  • Read-Only Quote Details: Quickly reference key quote information from mobile, with a clean read-only view.
  • Quote Viewed Notifications: Tap a notification to open the quote directly in Go.
  • Attachment Access: View and download all attachments related to a quote directly from the Documents page.

This makes quote visibility and responsiveness seamless, whether you’re in the office or on the go.

Stack Graphs for Even Cleaner Layouts

Dashboards are at their best when they tell a clear, visual story, and sometimes that means combining big-picture views with more detailed breakdowns. With this release, you can now do exactly that.

 

Introducing the new Vertical Group component, which lets you stack 2–4 graphs vertically inside your dashboards. Combine larger graphs with smaller supporting ones, create side-by-side comparisons, or design layouts that put multiple KPIs in context, all without losing clarity.

Smarter Scheduling for Automations and Rules

Software automation is most powerful when it truly fits the rhythm of your business. With this release, we’re introducing two key enhancements that give you greater control and flexibility when using Automations and Rules.

Schedule-Based Auto Enrollment

Auto Enrollment now supports a “Schedule” option alongside the existing interval-based setup. This means you can:

  • Select specific days of the week, and
  • Define exact times of day for enrollments to run

This makes it easier to align automation with your team’s workflow, ensuring that enrollments happen exactly when you want them to. With this update you can now do things such as:

  • Run outreach sequences on weekdays only so prospects don’t get emails or tasks on weekends
  • Trigger enrollments at specific times of day (for example, 8:30 AM) so they land when your reps are ready to take action.
  • Align enrollments with campaign launches or events by scheduling them to kick off on exact days, ensuring flawless timing and coordination.

Business Days in RulesProduct Update Time Unit Days

In addition to the ol' classic minutes, hours and days, we’ve added “Business Days” as a new unit for time-based rules. Instead of counting weekends, Membrain can now help you:

  • Automatically handle Saturdays and Sundays
  • Trigger actions only on working days
  • Ensure rules stay in sync with your team’s real-world schedules

This allows you to do things such as:

  • Create a follow-up reminder 3 business days later so an email sent Friday triggers a reminder on Wednesday, not Monday.
  • Ensure stage progression checks happen on business days only, so stalled deals are flagged when managers and reps are actually working.

Together, these updates give you more sophisticated scheduling patterns that reflect how teams actually work. No more unnecessary weekend triggers or awkward Monday cleanups, just buttery smooth, predictable automation that keeps sales momentum moving.

Quotes That Carry Your Process Forward

In our last release, we introduced Quotes in Membrain, giving sales teams the ability to create, send, and track professional quotes directly inside their workflows.

With this update, we’re expanding on those foundations and adding refinements that make quoting even better. More flexibility, more branding options and easier to share. Many of these enhancements come directly from the feedback we’ve received, helping us improve where it matters most.

Quote Style Templates

Quotes should always reflect your brand. With Quote Style Templates, you can now define and use branded layouts that keep every proposal consistent and professional. As an admin, you can set these up in System Setup.

  • Customize logo placement, size, and images
  • Tailor backgrounds, fonts, and colors
  • You can also set a default style template in the Brand Center

This ensures every quote feels polished and aligned with your company identity.

Export Quotes to PDFQuotes Export to PDF

You can now export any quote to PDF directly from the “…” menu found in the upper right-part when working on a Quote. The output mirrors the sharable web version as closely as possible and is optimized for digital sharing or printing. In certain sales scenario this is a clincher and we're happy to be able to offer this options.

 

Attachments in Quotes

Quotes often need supporting material, and now you can add attachments directly within a Quote. Upload, rename, sort, and download files alongside the main proposal. Clients receive everything in one place, making quotes more complete and reducing back-and-forth. Appendixes, terms of use, all that fine print that is key to ensure a Quote covers every criteria needed are all natural usecases for this capability.

Brand Center EnhancementsBrand Center 10 Colours

To support all these improvements to Quotes, the Brand Center has been updated and you can now add up to 10 brand colors and reorder them with simple drag-and-drop sorting to keep your color palette neat and organized. These expanded brand settings prepare the ground for more customization across Membrain, starting with Quotes.

 

This release builds on the recent Quotes launch by making them easier on the eyes, easier to share, and more complete. Together, these enhancements make Quotes an even more powerful part and a smoother experience of your sales process.

In addition to the previously announced Quotes and upcoming Flow capabilities, this release brings a wave of improvements designed to make Membrain more intuitive, more precise, and more powerful for your teams. From sharper data visualization to clearer filters and smarter automation, here’s what’s new.

Filtering & Status Management: Cleaner, Smarter, More Accurate

We’ve overhauled project filters to make them more intuitive and actionable:

  • Status Filter Update Across Project Types - A refreshed look and feel on the absolutely central "Status" filters in Membrain.
  • New Won/Archived Reason Filter - Split from the old Status filter, you can now filter sales projects by Won and Archived reasons directly, with clear headers and options.
  • New Disqualified Reason Filter for Prospects - Prospect disqualification reasons now live in their own filter, making it easier to review and act on disqualified leads.

The result is cleaner filters, less confusion, and more accurate reporting across prospects, sales projects, account growth, tickets, and flows.

  • Track Email Template Usage - Template usage in Automations and Process Events is now logged, so you can see when and where templates are applied.

  • Personalized Tasks in Automations - Add dynamic placeholders in the Create Task step of Automations. Tasks can now auto-fill with recipient, project, or company info, making them more informative without manual editing.
