Outcome Settings

Within Membrain, tailoring your processes to your unique workflow is paramount. While our platform offers a range of default settings, the Process Outcome Settings are a powerful tool, helping you optimize your sales and account management workflows and ensuring that every stage of your customer journey transitions smoothly and efficiently.

By defining structured win and archive conditions, your organization can maintain consistency in how projects progress, improving qualification accuracy and data integrity.

Specifying allowed win and archive reasons on a workflow and process level further enhances decision-making, ensuring that only relevant reasons are available for selection, leading to better reporting and forecasting.

Furthermore, project outcomes allow you to automate the creation of new prospects, sales projects, account growth projects based on predefined conditions, streamlining handoffs between your teams and enhancing customer relationship management. The ability to carry over key information between transitions ensures that vital data, contacts, and documents are retained, reducing manual effort and preserving continuity. 

Key Features

  1. Qualify/Win/Resolve & Disqualify/Archive Conditions -  Define the indispensable criteria that needs to be fulfilled for winning or archiving a project.
  2. Allowed Disqualify & Won/Archive Reasons - Specify which disqualify and won/archive reasons are relevant on a module and process level.
  3. Project Outcomes - Decide if and what new project should be created after a project is won or archived.
  4. Copy Information - Specify which information should follow through to the next project.

Accessing the Outcome Settings

  1. From the left menu, click on the icon to access System Setup.
  2. Choose the specific module you're working on: Prospects, Active Pipeline, Account Growth or Tickets and select the process you wish to adjust.
  3. After selecting the process, click on Settings in the top right corner and go to the Outcome tab.

Qualify/Win/Resolve & Disqualify/Archive Conditions

Across all modules, the default setting for qualifying/winning/resolving a project is "Always".

   

That said, administrators are able to set conditions for which a Prospect respectively a Sales Project, Account Growth Project or Ticket is allowed to be qualified, respectively won or resolved. These are the primary qualify/win/resolve conditions available to you:

  • All Qualifiers Are Met: This ensures that all pre-set qualifiers for a project are achieved before marking it as won.
  • All Milestone Steps Are Completed: A project is considered won once all milestone steps are completed.
  • The Project Has No Red Flags: Projects can only be deemed won if there aren't any associated red flags.

Additionally, you have the liberty to include more nuanced conditions to precisely tailor the criteria for a qualification/win/resolution.

Besides qualify/win conditions, administrators also have the flexibility to stipulate the conditions under which Prospects can be disqualified and Sales Projects, Account Growth Projects and Tickets can be archived to ensure they don't get closed preemptively.

Across all modules, the default setting is "Always".

Allowed Disqualify & Won/Archive Reasons

This feature is supported in Prospecting and Sales Projects and the default for the allowed reasons is "All".

That said, administrators are able to set specific allowed reasons on a module and process level.

Project Outcomes

For each module (except for Account Growth), you can specify the desired outcome after projects are either qualified/won or disqualified/archived, streamlining actions for various scenarios.

For instance, when a Prospect is qualified, the default action is to create a Sales Project. However, users can set other outcomes like initiating a new Prospect, creating an Account Growth Project, or doing nothing at all.

For Sales Projects, the default setting after winning is no further action, but obviously you can tailor the outcome to be for example the creation of an Account Growth Project to manage the delivery of the product or service you sold.

Copy Information 

After selecting an outcome, e.g. a project or prospect to be created, you also can choose what data gets transferred over to the new project.

  • Copy information - Select what process level information gets brought into the new project.
  • Copy Stakeholders & Contacts - Determine which contacts and stakeholders get brought into your new project.
  • Copy Documents - Decide which documents you will port from your prospect/project to the next.
