Adding Disqualify Reasons

Not every prospect will meet your qualification criteria—and understanding why is key to refining your prospecting efforts. A well-defined list of Disqualify Reasons helps your team identify patterns, refine outreach strategies, and focus on high-potential opportunities.

Once you’ve set up your list of Disqualify Reasons with options relevant to your organization, Membrain will prompt users to select a reason each time they disqualify a prospect. This ensures consistent data collection, supports accurate reporting, and enables continuous improvement across your qualification process.

Accessing Prospect Disqualify Reasons

Administrators of Membrain can access prospect disqualify reasons and manage them as follows.

  1. From the vertical menu to your left, go to System Setup
  2. Scroll down to Settings > Process Capabilities > Prospect Disqualify Reasons


Add Disqualify Reasons

An administrator can add or edit disqualify reasons by going to System Setup > Process Capabilities > Prospect Disqualify Reasons.

  1. Click the +New button.

  2. Enter a name that clearly explains why a prospect would be disqualified.
  3. Click Save.
  4. Continue adding reasons until you have a complete list.

Edit or Merge Disqualify Reasons

To maintain your list as clear and accurate as well as avoid duplicates, you can edit respectively merge existing reasons without losing any historical data tied to disqualified prospects.

  1. Click on a reason in the list that you would like to edit.
  2. Edit the text in the box to suit your organization.
  3. Click Save.

OR

  1. Click on a reason in the list you would like to merge with another.
  2. Click Merge.


  3. Select the option you would like to merge with from the drop-down list.

  4. Click Merge.

Archive or Delete Disqualify Reasons

As your sales strategy evolves, so will the reasons prospects are disqualified. Maintaining a clean and relevant list ensures accurate data collection and effective reporting. If a disqualify reason is no longer relevant, you are given the option to either delete or archive it.

Why It Matters

  • Preserves Data: Historical reasons remain available for analysis even if no longer active.
  • Cleaner Lists: Keep only current, relevant reasons visible for users.
  • Better Reporting: Retain archived reasons in reporting while reducing clutter in the interface.

Which Option is Best

  • Use Archive when the reason should no longer be used, but you want to keep its historical data.
  • Use Delete only if the reason has never been used in any prospects, as this action permanently removes the reason from your list and cannot be undone.
Note: Reasons that are used in open prospects, are not possible to delete, and you will only be given the option to archive them.

To delete or archive a reason:

  1. Click on the reason in the list.
  2. Click on Delete or Archive based on your needs.



Additional uses

Recording these reasons also gives you the opportunity to deal with these disqualified prospects in clever ways, depending on their reason for disqualification.

Example - A prospect that has been disqualified due to the reason "Not Ready Now" could be brought back into your Process in 12 months' time, ready for you to try again. You can do this using Membrain's powerful Process Events and/or Automations feature.
