Data Import Timeline

Step 1 - Tailoring Your Data Journey (2-5 days)

The collaborative Data Import Planning session marks the commencement of your Data Import process as part of your ClearPath or other Data Import Service. We appreciate your proactive involvement and providing raw files of all types of data you are looking to import ahead of this meeting. As we progress, this initial step sets the foundation for a tailored approach to meet your unique data requirements.

Step 2 - Sample Data Testing (1 week)

Following the Data Import Planning session, our Data Migration Specialist (DMS) will execute sample imports of your data to Membrain. This crucial step allows us to dive deep into your data intricacies, addressing any questions or uncertainties that may arise. Once this is done you will receive a comprehensive Sample Data Import Report summarizing the results of this phase.

Step 3 - Creating your Import Templates (1-2 weeks)

Building upon the insights from the sample data, our DMS will use the sample imports as a foundation and collaborate with you to create templates that will seamlessly convert your raw data into refined, importable files. Your prompt responses to any follow-up questions during this phase are instrumental in maintaining the momentum of our progress.

Step 4 - Live / Full Data Import Deadlines

Looking ahead, your deadline for submitting the final data import files, complete with your most recent and complete data before the anticipated live date, is typically 5-7 business days, depending on the complexity of the data. Keeping to this deadline is critical as it facilitates the processing of the raw data into the import templates, identification and management of any unforeseen issues, importing of your data, and the finalizing of the comprehensive Final Data Import Report. We will work closely to ensure that this aligns seamlessly with your project planning and requirements.

Step 5 - Final Data Import (1+ week)

Upon receiving the final import files and confirmation of their adherence to agreed-upon templates, our DMS will perform the final imports. This process involves processing new raw files, importing them, and conducting a thorough review of the import. Post-completion, the DMS provides you with a Final Data Import Report outlining the high-level steps taken and summarizing any outstanding issues or missing items.

Step 6 - Reviewing the Import Results and Final Approval

After the final imports have been executed, and the Final Data Import Report has been transmitted, you are required to promptly review the imported data. It is imperative that you inform us without delay if the imported data aligns with your expectations or if any discrepancies are identified. You are granted a two-week period to provide feedback, critiques, or raise any questions regarding the imported data. Failure to communicate within this timeframe may be considered as acceptance of the imported data.

Spreadsheet Guidelines

File Format

The data must be in a spreadsheet format, like XLS/XLSX or CVS. 

File Preparation

The data is ideally kept in an unformatted state. Please refrain from using macro-enabled spreadsheets, merged cells, grouped data, etc., as these formats are not permissible. If applicable, please remove any data columns containing redundant information or system fields that you don't want to keep, ahead of submitting the data.

File Size

For optimal performance the size of each individual spreadsheet should not exceed 50 MB. Larger files can affect the data processing and import speed.

Data Arrangement, Formatting and Quality

  • Your import data must be arranged in an unfiltered spreadsheet with clear, unmerged, Columns (with Header Names) and Rows without formulas.

  • Each row has fully populated mandatory data (see more information about mandatory data here).

  • Only one import type per spreadsheet/file. Companies in one sheet, Contacts in another and so on. You can either separate different types of import data by file or by different sheets in the same file.

Data Age

The Data Import Services is primarily meant to be used to import the relevant data that you need to build your business going forward. That said, some historical data can be very important to bring with you into Membrain. We usually recommend importing historical data going back to a maximum of 3 years, especially Activity Data like Notes, historical Emails, Appointments and Tasks.

Types of data that can be imported into Membrain

Most of your data can be imported into Membrain (with a few exceptions)

  • Companies
  • Contacts
  • Prospects (Leads)
  • Sales Projects (Opportunities)
  • Products to Sales Projects
  • Account Growth Projects
  • Activities - Appointments
  • Activities - Tasks
  • Activities - Notes (including historical Emails)
  • Tickets

What types of data cannot be imported into Membrain?

  • Documents - these must be uploaded to their respective location manually inside Membrain
  • Historical emails - emails can only be imported into Membrain as Notes via an Activity import including date and participant/recipient details, as well as the email content itself. Membrain's Sales Inbox can look back over the past 30 days and sync relevant emails to related projects, according to System Settings and Stakeholder information.
